As Bellefontaine established itself as an independent business under the COFRA Group, it needed an onboarding solution capable of meeting the demands of a regulated environment from day one. The challenge was twofold: building a compliant, structured process for new investor take-on, and managing the migration of an existing portfolio that had previously been handled through manual workflows. Screening had been outsourced, document collection was fragmented and there was no centralised system of record. For a business operating with the rigor and efficiency expected of a modern financial services firm, a new approach was essential.

Vaiie worked with Bellefontaine to translate their existing manual processes into structured digital workflows, ensuring that what the team knew and understood was retained, but delivered through a consistent, auditable framework. Crucially, the implementation was not limited to new business. Bellefontaine's existing portfolio was imported directly into the platform, significantly reducing the manual effort that would otherwise have been required to bring legacy data up to standard.

Integrated World-Check One screening replaced the previous outsourced arrangement, bringing sanctions, PEP, adverse media checks and ongoing monitoring fully in-house. These checks are embedded directly within the onboarding journey, ensuring every investor, existing and new, is screened as part of a single cohesive workflow. Digital identity and address verification further streamlined the process, allowing investors' identities to be confirmed remotely and efficiently.

The result has been a materially faster and more controlled onboarding experience. New clients move through a clearly defined digital journey, with screening and verification completed as part of a single, cohesive workflow rather than a series of disconnected steps.

The profile reuse engine means that where individual or corporate investors appear across multiple structures, their data does not need to be re-entered or re-verified, reducing duplication and accelerating the process for complex cases. Bellefontaine now has a scalable, audit-ready foundation that reflects the standards expected of an independent, regulated business.
